A completed appraisal is an output within a wider process. Your responsible officer or suitable person considers the relevant information before making a recommendation; the GMC makes the licensing decision. Read the actual communication rather than inferring the outcome from a portal colour, a completed meeting or a colleague’s reassurance.
A useful administrative record identifies the sender, the decision or request, the date, the action required and the next contact. Keep the original communication in the approved location. If different people use terms such as “signed off”, ask what exactly has been completed. Precision prevents a successful appraisal from being mistaken for confirmation that the GMC has already revalidated you.

The GMC may defer the submission date to allow more time for a recommendation or decision. Deferral itself is not a finding that a doctor is unfit to practise; the GMC’s guidance explains that the licence continues. Any separate restrictions or conditions still need to be observed. Confirm the new date and the outstanding requirements in the actual communication.
Turn the reason for deferral into an action plan: what is needed, who will provide it, when it will be available and when progress will be reviewed. Do not treat the extra time as a reason to stop collecting evidence. If an agreed action proves impossible, raise the problem early. Repeated delay without explanation is different from a documented plan being actively pursued.
Respond to requests with evidence and clarity
Read precisely what is requested and by whom. Some requests concern a missing document, others the connection or the doctor’s engagement. Use the deadline in the letter or approved system. If you cannot provide the material, explain why promptly, describe the steps taken and ask what alternative or extension can be considered. Do not assume that making a request automatically grants an extension.
Keep a simple correspondence log on an authorised system. Separate evidence that exists from evidence you intend to create. Never backdate a meeting, invent a certificate or misrepresent a later reflection as contemporaneous. If an earlier record is inaccurate, seek a transparent correction through the proper process and preserve the original audit trail.
Take non-engagement seriously without equating it with any gap

Non-engagement has defined criteria and a regulatory process; a single missing item is not automatically the same thing. The GMC protocol considers support, reasonable explanations and local attempts to resolve matters. Nevertheless, a recommendation of non-engagement can lead to licence withdrawal. Read any warning carefully and seek timely advice from the responsible-officer team and an appropriate professional adviser.
An effective response addresses the actual concern: what you have done, what prevented the remaining action, what evidence supports that explanation and how the problem can now be resolved. Avoid a general assertion that you are a good doctor when the request concerns specific engagement. Equally, document system failures or health-related barriers factually rather than accepting an inaccurate description without clarification.

A proposed withdrawal, adverse decision or appeal raises individual legal and professional issues. The GMC’s published process includes opportunities to respond and appeal; the exact notice and current guidance control the action required. Obtain appropriate advice promptly. This programme does not calculate a legal deadline, draft representations or predict an outcome.
If a licence has been withdrawn, do not undertake UK work that requires it. Questions about restoring a licence, returning to practice or continuing non-licensed work need specific clarification. Do not rely on an old screenshot, an employer’s informal assumption or the completion of an educational exercise to decide that practice is authorised.

After the GMC confirms its decision, check the new submission date and keep appropriate records of the information considered. Continue annual appraisal and ongoing development. Revalidation is not a promise that future concerns cannot arise, and it does not remove normal duties to report, seek help or respond to changes in your work.
Use the next cycle as a planning opportunity: review what was difficult to obtain, improve the evidence index and arrange feedback early. Preserve the achievements and lessons that will support the next year, but do not carry every duplicate attachment indefinitely. Follow local retention and transfer arrangements and keep a clear record of outstanding actions.
